3 Ways to improve your business administration to speed things up

Don’t we all love a bit of automation? Things happening without our intervention – once set up of course.  Analysing what areas of your business would benefit from some automation as well as it being possible is the first step.

Looking at what your ‘business activities’ are and identifying tools within the software you are using that can be set up and left to run.

Here are 3 ideas to get you thinking and will certainly save you some time:

1. Filing emails

Setting your email up so that when an email comes in, it is filed in its folder rather than your inbox. For example; newsletters you’ve signed up for, client emails, supplier emails.

This means that what is in the inbox are people you’ve not heard from before (or rarely). Enabling your focus to be on the ‘new stuff’ as well as being able to see all the invoices from your client/supplier in one place to work on in a batch rather than switching throughout the day.

Filing Newsletters gives you a place for ‘reading’ when you have either allocated time or during your lunch break.

2. Purchase Invoices

Did you know Xero (and possibly other cloud based finance packages) enable you to forward emails that have a pdf invoice attached straight into your draft invoices – and can actually create the invoice for you. This saves you uploading and inputting all the details and obviously, that dreaded ‘forgotten to pay’ scenario.

3. Sharing your blogs

You’ve spent time creating blogs and you now have to spend more time sharing it throughout the year to encourage traffic to your website. Have you heard of missinglettr.com? This platform actually pulls the blog from your website once published and can create a year long campaign; creating the content and sharing your content for up to 12 months. You do need to select hashtags, review the posts/imagery and set it off. With this tool you can share on Twitter and Facebook.

Spend some time looking at ways to automate (or speed up) your activities and you will thank yourself every day.
